Supervision Billing
Supervision billing is a temporary billing arrangement that allows healthcare practices to bill for services provided by non-credentialed clinicians under the supervision of a fully credentialed provider. This approach is commonly used when new clinicians join a practice but have not yet completed the credentialing process with insurance payers.
By billing under the supervising provider’s National Provider Identifier (NPI), practices can ensure continuity of care and reimbursement while awaiting credentialing approval. However, it’s important to follow payer guidelines, as supervision billing requirements vary by insurance company and provider type.
This guide will walk you through how to set up and manage supervision billing within Healthie, along with best practices to ensure compliance and smooth operations.
This guide is for general informational purposes only. We recommend consulting with a billing specialist to ensure alignment with your practice’s specific payer requirements and workflows.
1. Verify Payer Policies
Before proceeding, confirm that the insurance payers you work with allow supervision billing and understand their specific requirements. Some payers may have restrictions on:
- Which provider types can be supervised
- How long supervision billing can be used before the new clinician is credentialed
- Documentation requirements
2. Configure Healthie for Supervision Billing
To set up supervision billing in Healthie:
- Ensure your supervising clinician is credentialed and has an active NPI on file with payers. to
- Adjust claim information so claims are submitted under the supervising clinician’s NPI but include the rendering provider’s details where required.
- Healthie allows you to set the Rendering Provider (Box 24J) and Supervising Provider (Box 17) fields as needed.
3. Establish Internal Documentation Protocols
- Have a clear supervisory agreement in place that outlines oversight responsibilities.
- Set up internal documentation procedures to track which provider rendered the service and ensure compliance with payer requirements.
4. Communicate With Your Billing Team
- Train your billing team (or billing service) on how to correctly submit claims under supervision.
- Ensure supervision billing is temporary and regularly check the credentialing status of new clinicians.
5. Monitor Payments and Compliance
- Track claims submitted under supervision to ensure they are being processed and reimbursed correctly.
- Stay aware of any policy changes from payers that may impact your ability to bill this way.
Many Healthie customers successfully use supervision billing as a short-term solution while new providers get credentialed.
