HubSpot and Healthie

Healthie makes it easy for providers who use HubSpot as their CRM / Marketing Engine to push information from Healthie into HubSpot.

Overview of Integration

With the Healthie + HubSpot integration, you are able to take certain actions within HubSpot based on information transferred from Healthie into HubSpot. Client data is pushed over to HubSpot shortly after it's pushed to Healthie, typically within 30 minutes of the information being received.

Healthie's Standard integration with HubSpot includes pushing the following Standard Properties:

  • Client First name
  • Client Last name
  • Client Email
  • Client Phone number
  • Client Date of birth 
  • Client Gender
  • Client Address
  • Client Group
  • Transaction date & time

Here are Custom Properties that can be pushed to Hubspot from Healthie:

  • program
  • program_start_date
  • program_end_date
  • program_type
  • program_purchase_date
  • promo_code
  • package_name

Implementation: Triggering Events

The sync triggers for the Healthie <> Hubspot integration will depend on the field. Some examples include:

1) Fields about the user (e.g DOB) are triggered anytime the user is saved

2) Fields about billing (e.g package name) are sent when the purchase is made

3) Limited number of fields related to the user's first appointment are tracked, along with an ongoing count of the user's appointments. Please see below for the specific fields that are tracked:

    • first_appointment_start_date -> appointment.date (formatted as yyyy-mm-dd)
    • first_appointment_start_time -> appointment.date (formatted as just the time)
    • first_appointment_appointment_type -> appointment.appointment_type.name
    • first_appointment_client_confirmed -> appointment.client_confirmed
    • appointments_count ("user_appointments_count" field in Hubspot)

Using the Integration

If a client is already in Hubspot and books a Healthie session, a duplicate of the person will not be created in Hubspot if the e-mail address is the same. 


Is HubSpot HIPAA Compliant?

You may struggle to maintain firm HIPAA compliance if you’re trying to use HubSpot as a healthcare CRM. According to their Terms of Service, the service offering is “not designed to comply with industry-specific regulations such as the Health Insurance Portability and Accountability Act (HIPAA)…” So, despite their robust platform and security features, you are not permitted to store protected health information within Hubspot’s CRM.
Although there isn’t currently a way to make Hubspot truly HIPAA compliant, you may be able to use multiple platforms for the different types of contacts you engage with. While this could be a valid strategy for healthcare practices looking to achieve compliance with their CRM of choice, you’ll likely need to spend more time and money to reach and maintain HIPAA compliance with this approach.
  1. Does HubSpot have a firm Business Associate Agreement (BAA)? No, HubSpot does not currently sign BAAs with their customers.
  2. Is HubSpot secure enough for your PHI? Technically, yes. HubSpot offers security features to protect PHI but prohibits storing that information on the platform.
  3. Does HubSpot’s ToS affirm HIPAA compliance? No, HubSpot’s terms of service prohibit the capture, storage, or transfer of PHI within the Hubspot platform.
