Automatic Charging for Late Cancellation and No-Show Appointments

Healthie currently enables providers to automatically charge for appointments that have occurred and automatically charge for appointments marked as late cancellation or no-show. Administrators will be able to set up late cancellation and no-show settings and prices within account settings. 

When enabled, a patient will be automatically charged a specific fee when their appointment is marked by the provider or a member of the organization as: 

  1. 'late cancellation' - they cancel their appointment late, outside of practice policy  
  2. 'no show' - if they fail to show up

Note: Auto charging for late cancellations and no-shows is currently only supported for Plus Plan members and above.


Enabling Automatic Charges for Late Cancel and No-Show Appointments


Within Settings (Gear Icon) > Appointments> Edit Payments and Credits you will see a toggle to enable Automatically charge for late cancellation and no-show appointments. In this dropdown, you will be able to set specific fees for both Late Cancellation and No Show appointments. Admins and providers will have the ability to enable auto charging for late cancellation and no-show appointments as long as pricing per appointment type is also enabled within Settings.


Classifying Late Cancel and No-show Appointments in the Calendar


Within the appointment details, you will see a Status dropdown that contains both "Late Cancellation" and "No-show" Admins and providers can manually adjust an appointment status as needed. This can be found by following Calendar > Click Appointment > Status.


Providers or calendar administrators will be able to designate an appointment status as “Late Cancellation” or "No-show" when appropriate. The timeline of “Late Cancellation” is designated by your organization / policies, and is not set by Healthie. .


When an appointment status is marked as “Late Cancellation” or “No-Show” a charge to the patient’s card on file will automatically be scheduled. If the patient does not have a card on file, an invoice will be generated. 

Additional Notes: 

  • Calendar can be filtered by “Late Cancellation” and "No-show" status 
  • Appointments that have been changed to “Late Cancellation” or "No-show" will be reflected in the patient’s appointment information in the calendar overview

Note: This functionality will only be available for 1:1 appointments (not group appointments).  


Accessing Appointment Reports

The Appointments Report will show “Late Cancellation” and "No-show" as a statuses in the status column. This can help administrators and providers better understand practice late cancel and no-show rates.

In your forms library, you'll find two form templates that are helpful for establishing practice policies regarding late cancellations:

  • General Cancellation Policy
  • Late Cancellation or No Show Policy
