E-Rx: Processing Refill and Change Requests (Enhanced DoseSpot UI)

Note: the current DoseSpot user interface (UI) will be replaced by the enhanced DoseSpot UI for all users starting in 2026. Healthie will notify you ahead of your migration to the enhanced UI so you're prepared every step of the way.

This article outlines how to access client refill requests and link requests to an existing client to avoid duplicate client accounts in the Enhanced DoseSpot. If you are looking for information in refill/change requests in the current UI, click here.

After sending a minimum of 5 new e-prescriptions through DoseSpot, providers and prescribing agents become “active ePrescribers”. Active ePrescribers can receive and respond to electronic refill requests initiated by a pharmacy through their DoseSpot account. 

Note: Only the latest refill request for a prescription will display. If a pharmacy sends a follow-up request, it will not display as multiple requests. 


View Client Refills 

Pending refill requests display on the DoseSpot Patient Overview under Tasks > Pharmacy Refill Requests


Approve a Refill 

In order to approve a refill:

  • Select the checkbox next to a refill you’d like to approve > Process
  • In the Refill Request window, review the information > select the Approve action
  • Provide the number of refills and apply the effective date > Submit 

Note: Refills include initial dispensing, as well as any refills i.e. Fill + 2 = 3 total dispensing. 


Replace a Refill

In order to replace a refill:

  • Select the checkbox next to a refill you’d like to approve > Process
  • In the Refill Request window, review the information > select the Replace Medication action
  • Click Next 
  • Identify the replacement with the search bar > provide new prescription information 
  • Click Next 
  • Review the replacement request > Submit 


Deny a Refill 

In order to deny a refill:

  • Select the checkbox next to a refill you’d like to approve > Process
  • In the Refill Request window, review the information > select the Deny action > select a reason for denial 


If a refill request cannot be automatically linked to an existing client in DoseSpot due to discrepancies in name, gender or DOB, the refill request is marked by a flag on the DoseSpot Dashboard page. When you click into the request, you will have the option to Deny, Search/Assign to Existing Patient or Accept as New Patient.

If you select Search/Assign to Existing Patient, a search bar will appear and you can search by Name or Date of Birth. 

If you select Add as New Patient, a new patient record will be created.
