Superbills: Frequently Asked Questions
Healthie's platform makes it easy to automatically create and electronically share Superbills with your clients. This is distinct from completing and submitting the CMS 1500 form directly to an insurance company.
Here are some answers to commonly asked questions regarding creating Superbills via the Healthie platform.
If you're new to insurance billing or Superbills, you'll find a wealth of helpful information here.
Can I create a Superbill before a session?
A Superbill is a specialized receipt outlining the services you have provided your Client. Clients can submit these to their insurance companies to (potentially) get reimbursed for services rendered. Importantly, Providers collect payment from client at time of service, and any reimbursement provided by an insurance company goes to the client directly. You cannot issue a Superbill before services have been rendered, as you'll need to populate a service date into the form.
If your client is looking to confirm benefits, they should contact their insurer directly to confirm benefits, and out-of-network benefits. As a provider, you may want to provide the ICD-10 and CPT codes that the insurer can refer to when confirming benefits.
Why can't I see Superbills as an option in my account?
The ability to create Superbills is included in all Healthie membership plans. If you are part of a group practice and cannot find the Superbills tab in your account, an admin will need to adjust your member settings to enable you to view/create Superbills from your account. Direct your admin to this help article on group practice & organizations features.
How is the "Amount Billed" calculated for a Superbill?
Within the billing details of a Superbill, you'll be prompted to enter the number of units and fee per unit.
- Units: typically represent 15 minutes of care. So if you worked with a client for 60 minutes, you would bill 4 units.
- Fee: this is your fee per unit. If you charge $100/hour to see a a client, this would represent 4 units at $25 per unit. So in the "units" you'd enter 4 and the "fee" 25.00.
Healthie will automatically multiply the number of units x fee per unit that you've entered to calculate the Amount Billed (you'll see the Amount Billed listed when you Preview the Superbill)
Can I see a Sample Superbill?
Here is an example of how a completed Superbill renders when completed in Healthie. Your own information and branding (ie. logo) if you have one will automatically be added to the Superbill. This image is for general purposes only, and is not guidance on how to properly complete the details of a Superbill.
How can I send a Superbill to a client?
Once the Superbill has been completed, take the following steps:
Billing > Superbills > [...] next to a Superbill > select Email to Client
If you've needed to make updates to the Superbill after sending it to a client, we recommend that you update the Superbill and then again click Email to Client. Your client will be able to see the latest instance of the claim in their Healthie account.
Which Provider is selected for a Superbill?
By default, Superbills always preselect the clients assigned provider in the provider field. A client can be reassigned to a new provider if necessary.
What Provider address is populated on a Superbill?
If a provider has not created a Superbill yet, the provider address will automatically pre-fill with the address listed for the Organization within the account Settings.
The address within the Superbill details can be edited manually. Moving forward, this is the address that will pre-fill on all subsequent Superbills created by this provider.
