Healthie’s AI Scribe feature generates comprehensive chart note drafts. This article covers commonly asked questions about AI Scribe.

How do I enable Scribe?

AI Scribe is available to Plus, Group, and Enterprise customers as an optional add-on to your subscription. See Getting started with Scribe for steps on enabling Scribe.

Can I enable Scribe for only a few of my providers?

Yes. You can enable AI Scribe for as many providers as you want. You can do this all at once or over time.  

Will AI scribe work for in person meetings?

No. Scribe is not designed for in person meetings.

Will Scribe work for group meetings?

No. Scribe supports one-one-one Zoom sessions only.

How does Scribe generate charting notes?

Healthie's AI Scribe creates chart notes automatically in your Healthie account. It uses your chosen chart note template for each appointment type. You don't need third-party browsers or plugins. AI Scribe works with the HIPAA-compliant Zoom you already use for telehealth visits and syncs with your Healthie Calendar.

Scribe uses Zoom's transcription from your session to fill out your charting note template. This reduces manual entry and makes documentation easier.

Does Healthie’s AI Scribe work in real-time or after the appointment?

Scribe creates your charting note within 10-15 seconds after your session ends. You get an accurate, structured summary without disrupting your workflow.

What types of documentation can an AI Scribe handle?

Scribe can create any standard documentation you need, including SOAP notes, ADIME notes, intake forms, and progress notes. It also works with custom charting templates you create in Healthie. If you build a charting form in Healthie, AI Scribe will automatically fill it out using your session's transcription. This makes your workflow easier and cuts down on manual entry.

Can AI Scribe recognize and adapt to different medical specialties?

Yes. Scribe works with any medical specialty. It creates chart notes based on the charting template you choose. You can create specialty-specific chart note templates in Healthie. This ensures AI Scribe captures the most relevant details for your field. Whether you use SOAP notes, ADIME, or a fully custom template, AI Scribe adapts to your documentation needs. It streamlines your workflow while keeping your notes accurate and compliant.

Can I edit or correct the Healthie AI-generated notes?

Yes. After AI Scribe creates your draft charting note, you'll get a notification when it's ready for review. You can easily edit it, add details, and finalize the note before signing and locking the note. This ensures it fits your documentation workflow. You maintain accuracy while making your charting process faster.

Can my providers use multiple chart note templates alongside Scribe?

AI Scribe supports a single chart note template, and you can choose the template you want to use for each appointment type. AI Scribe will create the note using the template associated with that specific appointment type.

Can I take notes during the session in addition to using AI Scribe?

Yes. You can link multiple chart notes to a single session. If a provider wants to take notes during a session, they can use any chart note template they choose (commonly a free text chart note). This won't interrupt AI Scribe's work in the background during the session. Both chart notes will be visible to the provider, and they can combine them as needed.

How do I make sure the template has required fields for billing?

We suggest adding smart fields that your billing team needs to process claims directly in the chart note. Most commonly, these include:

  • Scheduled time, start time, end time
  • Procedure and diagnosis codes
  • Appointment type
  • Provider

If a question is not asked or answered, does Scribe mark the checkbox or dropdown as "No" or does it leave the field blank?

This depends on whether the form has prefilled answers for form fields. If there's no prefilled answer and Scribe determines that the conversation doesn't relate to the question, Scribe will leave the answer blank. If there is a prefilled answer and Scribe determines that the conversation doesn't relate to the question, Scribe will return the prefilled answer as it was before the appointment.

What is the logic for pre-fill notes when using AI Scribe?

Scribe will overwrite prefilled questions under these conditions:

  • There is relevant information related to the question in the transcript AND
  • The information contradicts the prefill (doesn't just repeat what the prefill says) AND
  • The question does not "refer strictly to data collected from a previous appointment"

Otherwise, the prefill will be used.

Can providers view and download session transcripts?

Yes. Transcripts appear in the session details side panel. Providers will see transcripts in the UI only on appointments they can access. If they can't access an appointment or if we didn't transcribe it, they won't see the raw transcript files in the side panel. Transcripts are in .vtt format and open in any text editor.

Can I see and edit the Scribe note during an appointment?

No. The AI-generated not is not available until after the appointment ends.

Can I have the word "patient" or "client" be used, or avoid using the Client Name in notes?

You can prompt AI Scribe to use your preferred terminology like patient, client, or member. For example, to use "patient," you can add this sentence to the end of your free-text form field questions:

  • Refer to the patient as "patient". Never refer to patient by their name.
  • This also works to prompt the AI not to include the patient name in the note.

Does AI Scribe comply with HIPAA regulations?

Yes. AI Scribe fully complies with HIPAA regulations. AI Scribe is part of Healthie's HIPAA-compliant platform and uses our integration with HIPAA-compliant Zoom to create draft charting notes securely.

We store these notes directly in the client's profile in Healthie. All protected health information (PHI) stays secure and never leaves the platform. We use Large Language Models (LLMs) securely.

How does AI Scribe ensure data security and patient confidentiality?

Healthie follows industry best practices for data protection. We use encryption in transit and at rest, access controls, and audit logs to protect sensitive client information. The Large Language Models (LLMs) we use to create draft charting notes are also HIPAA compliant. No data is captured or stored by any third-party platform during note generation.

We suggest (not legal advice) letting clients know via your consent process about the Zoom and Scribe experience, and that you're using a tool to transcribe the conversation to help with your appointment note-taking.

How long do you store transcripts?

We store transcripts indefinitely.

Can you delete transcripts on request?

No. We do not delete transcripts.

Are transcripts part of the client EHI download?

No. Transcripts are not included in the EHI file.

Are there other AI tools I can use with Healthie?

Healthie is rolling out a suite of AI tools built into the Healthie platform: Intelligence by Healthie. These tools for administrators, providers, and developers will support and enhance your entire platform experience.

Healthie also has Harbor Partners who offer different Scribe products (along with other AI tools). You can review our Harbor Partners here and go through the enrollment process with your chosen vendor.

Can AI Scribe be enabled for Healthie staging accounts?

No. We do not support Scribe testing in staging.
