Sharing Post Session Notes with Clients

Quality healthcare outcomes depend upon patients’ adherence to recommended treatment regimens. Sharing your treatment recommendations with patients in a format that is accessible and digestible can help reiterate important information relayed during your sessions. With Healthie, you have the ability to share these recommendations in a variety of workflows so that clients always have access to what was discussed during your session and your recommendations for the current stage of your health journey. 

Making post-session notes accessible within Healthie allows treatment recommendations (and resources) to be communicated in a patient-friendly manner. Treatment recommendations can also include written summaries and additional resources, which help to improve a patient’s understanding. Both improving patient knowledge, and increasing patient-provider communication, serve as strategies in improving patient adherence.

Send Video Summaries

One great way to ensure your client has the content of your visit accessible is to record the session. With Healthie’s integration with Zoom, any appointments held over Zoom can be recorded and sent to the client post-session. When you host a Zoom session, be sure to click the “Record” button within your bottom menu bar to begin recording the session. It’s also important to obtain permission from your client to record the session prior to doing so; some clients may not want the disclosure of their personal health information recorded and uploaded within Healthie. 

Once you’ve finished your session, Zoom will automatically save the recorded session as an MP4 file onto your computer. Please refer to Zoom's Support Guide for details on where you can access your file. Be sure to note that Zoom's cloud recording option is not HIPAA-compliant, so they disable it on HIPAA-compliant accounts (i.e. your Healthie account), leaving just the local recording option. Storing PHI locally increases compliance requirements (i.e you need to ensure your hard drive is encrypted, computer is password protected, etc), but can be done in a fully compliant manner.

To share recordings with your clients, you can upload the file to the client’s documents folder in Healthie. It may be best practice to then delete the original file off of your computer, to avoid any potential HIPAA-violations; Healthie’s Documents library is HIPAA-compliant and keeps client information secure. Learn how to upload files to the Documents library here.  If the video is a larger file, you can also convert the video to a URL link, and send it to clients using a chat message, or embed the video into a program or form. 


Share Specific Note Fields

When you share a chart note with a client in Healthie, you can select certain fields of the chart note you would like the client to see. To do so, bring up the chart note you want to share with the client. In the upper right corner of the note, you can click on the white “Share” button. This will bring up a checklist of all the note fields, and you can select/deselect the fields you want your client to see. 

If you build your chart notes strategically, you can include specific note fields just for client viewing, like “Discussed Today,” “New Recommendations” and/or “To-Do Before Next Session.” This way, as you work through the session, you can seamlessly fill out these sections and send to clients quickly post-session. 


Create a Client Care Plan

Creating and sharing a Care Plan post-session with patients is an effective way to reinforce the concepts discussed. Whether it’s a written summary of your treatment recommendations or additional resources for them to review, the care you give to your patient in session can continue afterward. Healthie's Care Plans feature enables providers and organizations to apply common protocols and methods of care to clients, while still facilitating the customization/personalization that may happen on a per-client basis. Within a Care Plan, you can add wellness recommendations, upload documents for clients to access, automatically set goals, and more. 

Care Plans are a great way to consolidate what was discussed in a session into an easily-accessible plan for clients to follow. Within a Healthie Care Plan, you can add:

  • Nutrition, activity, supplement, or general recommendations
  • Goals
  • Documents
  • Journaling settings

Care Plans can be updated periodically as your client’s needs change. You can also create Care Plan templates that can be used across an organization with multiple clients. As a client progresses through their wellness journey, you can leverage new templates to share post-sessions. Your templates save in a digital library, and essentially enable you to share your standard treatment recommendations & protocols. For solo practitioners and group practices, apart from saving time, Care Plan templates create a standardization of care recommendations.
