Form Builder Design Enhancements
We’ve introduced key design updates to Healthie’s Form Builder to make creating and editing forms more intuitive and efficient.
What’s new:
- 🆕 Right-Side Question Bank: The Question Bank has been moved to the right side of the screen to prioritize the form canvas and align with familiar patterns from other form-building tools. This also supports improved mobile responsiveness.
- 📝 Inline Form Title Editing: Form titles can now be edited directly at the top of the page, with all changes saved automatically.
- 🎯 Improved Drag & Drop: Enhanced hover and drop indicators provide better visual cues when rearranging or placing questions within a form.
- 🪄 Side Sheet Editing: Editing a question now opens in a side sheet, allowing for cleaner, more focused editing without disrupting your workflow.
- 🗑️ Updated Delete Modal Copy: We’ve clarified the language in the delete confirmation modal to ensure providers understand exactly what content will be removed.

Standardized Behavior for Gender and Sex on File with Insurance Fields
The Gender, Gender Identity, and Sex on File with Client’s Insurance fields now behave consistently across the Client Profile and Form Builder.
This consistency ensures that demographic and insurance-related information is collected accurately across your workflows. It also helps enhance the accuracy of claims submissions, improves clinical assessments, and ensures that patients’ demographic data is properly recorded.

Charting Signatures Now Use Legal Name
We’ve updated chart note signatures to align with compliance best practices. All signatures in Chart Notes and Chart Note History Events will now display the user’s legal name instead of their display name.
This ensures greater consistency and meets documentation standards for clinical record keeping.
New Webhooks for Prescriptions and Custom Modules
We’ve released the prescription.updated
webhook, which is triggered by DoseSpot prescription status changes. These updates occur when a prescription is approved, sent, printed, pharmacy verified, or encounters an error.
The webhook payload includes:
- Prescription ID
- Patient Healthie ID
- Patient DoseSpot ID
- Clinician ID
- Clinic ID
- Status details of the change
As part of this same release, we also added support for tracking activity on form templates and questions:
custom_module_form.created/updated/deleted
– Fires when a form template is created, updated, or when a question is added to the template.custom_module.created/updated/deleted
– Fires when an individual question is created or updated. The payload includes thecustom_module_form_id
so you know which template it belongs to.
Link Appointment Types with Billing CPT Codes
Billing just got easier! You can now link CPT codes directly to appointment types, ensuring pricing accuracy, reducing manual work, and setting the stage for automated CMS 1500 claim generation.
Here’s how to get started:
1. Add your CPT codes under Organization > Settings > Services
2. Link CPT codes to specific appointment types in Settings > Appointment Types > Insurance Pricing

Invoice for Automated Charges
Healthie’s billing system now automatically generates invoices for automated and failed charges, making it easier to track client balances and reconcile payments.
Invoices will be automatically created for:
- Packages with recurring billing enabled
- Appointments marked as Occurred, Late Cancellation, or No-Show
- Failed manual and automatic charges
These invoices can be viewed under:
- Client Profile > Billing > Invoices
- Billing > Payments > Invoices
This update helps organizations maintain accurate financial records and reduce manual invoicing efforts.

Associate Multiple Chart Notes to a Single Appointment
Healthie's charting feature allows providers to take notes on clients during or after a session, build customizable charting templates, and share chart notes with other providers via HIPAA-compliant E-Fax.
Providers can now associate multiple chart notes with a single appointment, making documentation more flexible and efficient. You will see a new "Create Note" button in Session Details that allows you to add multiple chart notes as needed, ensuring all relevant information is captured within the same appointment.

Update to Chart Note Signature Management
We’ve introduced additional updates to chart note signature management to further strengthen compliance and control over signed chart notes. These updates help ensure the accuracy and integrity of signed documentation while giving organizations more control over charting workflows.
Previously released updates:
- Signature removal option – Providers can remove their own signatures from signed chart notes to make edits if needed.
- New admin permission – Organization admins with the
Can edit and remove members in the organization
permission enabled can manage who has the ability to remove other org member's signatures.
New update:
- Editing restrictions for signed chart notes – Once a chart note is signed, it can no longer be edited. To make changes, all signatures on the note must first be removed.
Note: API users will still be able to sign a note that is already locked, consistent with current API behavior.

Auto-Create CMS 1500 Claims
One of our most requested features is here! Automatically generate CMS 1500s for eligible appointment — saving your team hours each week and making claim submissions fast, easier, and more accurate.
You will now notice a new Automated Insurance Billing section in your Insurance Settings. Once there, you have the ability to enable the Automatically Create CMS 1500s setting. When toggled on, a CMS 1500 will be automatically created each night for any appointments that meet the following criteria:
- Insurance billing is enabled for that appointment type.
- Automated billing is selected for the scheduled appointment.
- Appointment status is set to "no status" or "occurred" at the end of the day.

Charting
- Autoresponders will now send to both clients and other org members, regardless of whether the sender is the owner of the chat conversation.
- Session Scheduled emails sent when a client books through a share/embed link will now be logged in the client's notification history as "New Appointment Scheduled."
- Patients can now only be enrolled in courses and programs within their own organization, ensuring proper assignment and preventing cross-enrollment between parent and sub-orgs.
- When switching tabs in the Quick Profile while editing a charting note, the page will now maintain the user’s scroll position instead of resetting to the top.
- Client email addresses will now correctly appear in the Client Email column on the Form Responses report, ensuring accurate reporting regardless of the email domain.
- When a care plan is activated for a client, any associated documents are now automatically added to a Care Plan folder that is shared with the client.
- Org members can now add addendums to their own charting notes, even if the note was locked by another user. They can also add addendums to other org members' notes if they have the “Can write addendums to charting notes of other providers” permission enabled.Viewing or editing a group chart note from a client’s charting section will now launch the full group charting experience, ensuring all individual notes are visible and accessible.
- Autoresponders are now automatically disabled for org members marked as inactive, and will no longer be sent in direct or community chat messages.
EHR
- Provider and care team member information in a client’s personal information tab now pulls from the client’s assigned organization instead of the user’s organization.
- Clients in a sub-organization can no longer be enrolled in courses from the parent organization, ensuring proper organization alignment.
- When a provider reassigns a task, the edit task modal will now dismiss properly, even if they don’t have permission to view the task afterward.
- The names of the filters shown on the Labs pages have been updated for improved clarity and experience. Updates are as follows: All Statuses —> Statuses, All Clients —> Clients, All Providers —> Orderers, All Labs —> Labs.
Scheduling
- Availability blocks will now always be visible when the "Show Availability" filter is toggled on, regardless of the "Show One-Time Availability" or "Recurring Availability" selections.
- Availability blocks now display in the Appointments Calendar when using Safari.
- Providers will now receive email notifications only for client cancellations, ensuring clearer and more relevant updates.
Mobile
- We’ve made it easier to access client info on mobile. Now, tapping a client’s name from Appointments or Tasks will take you directly to their profile, so you no longer have to search for them in the client list.
- Phone numbers are now clickable and easy to copy on mobile.

💰 Planned Billing Updates
- Fee Schedules (Per CPT Code per Payer): We’re working on the ability to set unique, payer-specific pricing for each CPT code. This will allow clinicians to document fees per CPT and insurance payer, ensuring the correct amount auto-populates into the CMS 1500 based on a client’s primary insurance plan. Subscribe here
- CMS 1500 Rejection Reason Display: Soon, you’ll be able to see the rejection reason directly on any rejected CMS 1500 claim, improving visibility and streamlining claim management. Subscribe here

- Session Details Design Improvement: We're redesigning the current Session Details component into the new, streamlined Appointment Details view for a more consistent scheduling experience.
- Waitlists for 1:1 Appointments: We’re building waitlist functionality for 1:1 appointments, along with enhanced tools for organization admins and schedulers to better manage appointment waitlists. Subscribe here
