Getting Started: Charting within Healthie

One of the core features of Healthie is a HIPAA-compliant Electronic Health Record (EHR). Healthie's charting system allows providers to take notes on clients during or after a session, build customizable templates, and share chart notes with other providers via HIPAA-compliant E-fax. As a cloud-based EHR, you are able to log into your Healthie provider account from anywhere to access your records, without putting your client's private health information at risk.

Create a chart note within Healthie

To get started with a new client chart note, you can navigate to your client's profile within Healthie. 

Step 1: Click the "Charting" tab from the client profile > Click "Create Charting Note"  

Step 2: Choose your charting template

From the drop-down, select the charting template that you'd like to utilize for this note. You'll see all of the charting templates that are automatically included in your Healthie provider account, along with any additional custom charting templates that you've created. There is a charting setting that you can enable within Healthie that will allow you to set your DEFAULT charting template. To set a default, navigate to the gear icon on the top-right of your Healthie account > Setting > Calendar > Appointments. Scroll down to "Default Charting Template" 

Tip: Enabling the "pre-fill" feature for your charting templates can save you significant time while charting. When pre-fill is turned on, information from your previous chart note will automatically pre-populate into your new note, which you can edit for your current session. 

Step 3: Write your chart note

Beyond the actual content of your chart note, you'll also be able to adjust the: 

  • Chart note name (click the pencil icon next to the name) 
  • Date of service (click the date to select a new date) 
  • Time of service (select a different time from the dropdown) 

Within text boxes in your chart, there are additional formatting options available to you, including: 

  • Bold, italic, underline text 
  • Adjust text color or background-color 
  • Hyperlink to an external URL link
  • Add an image or a video 
  • Created a bulleted or numbered list 
  • Insert a table

There is a green button on the top that will indicate your chart note has been autosaved. Hover over the "autosave" button to see the last time it was shared. You can also click the "Save" button at any time. 

Step 4: Finish Charting 

When you're done with the chart note, click "More" at the top-right and select "Finish Charting" from the options. This will close out your chart note, which you can return to later, and revise as needed.

Note: You are also able to export Chart Notes directly into your Superbill or CMS 1500 for efficient completion of these billing notes, as well as to generate as a PDF or to E-Fax (see below) 


Access client Information, Goals and Entries while charting

During your session with a client, Healthie makes it easy for you to have important client information available to you directly in the charting area of the platform. This prevents you from having to leave your chart note to view this information, or opening multiple web browsers. 

You can access general information about a client while charting by clicking on "Quick Profile". This will open up a right-hand-side panel with key information on your client that may be helpful for you to review.

You can also view both Client Goals and Client Entries (journal logs) by clicking the buttons at the top-right of your charting note. This will NOT end your charting session. A pop-up for either goals or entries will appear, and you can directly make additions / edits.

View and interact with entries during a charting session: 

  • Click the "Entries" button while in the active charting area
  • Scroll through your clients recently entered metrics, notes, and food logs 
  • Use a quick-reaction or add a comment to give feedback and support to your client

View and add a new goal during a charting session: 

  • Click the "Goals" button while in the active charting area
  • Review the list of past created chart notes, or click the blue button that appears "Create Goal
  • Add your new goal information and click "Create Goal" 


View past chart notes

You can view an archive of your previous chart notes by navigating to the charting section of your client profile and clicking "View Chart Notes." If you a part of a multi-provider organization, you'll also see a "Provider" tab if you'd like to filter by Provider when viewing a specific note. 

This view will allow you to see all past chart notes written for your particular client. You can select a chart note from the list and perform several actions. These actions can be accessed by clicking the visible action buttons, or by clicking "More" on the top-right. 

Actions your can perform on a completed chart note: 

  • Edit your chart note 
  • Send as an E-Fax 
  • Generate chart note as a PDF
  • Create as a Superbill 
  • Export to a CMS 1500 claim 
  • Delete your chart note

You can learn more about these actions by scrolling down. 


Edit or delete a chart note

To edit a chart note, navigate to your client's profile > Charting > View Chart Notes. Select the chart note from the left side-panel and then click the blue "Edit" button.

To delete a note, navigate to your client's profile > Charting > View Chart Notes. Select the chart note from the left side-panel and then click "More" on the top-right (next to Edit) and choose "Delete Charting Note" from the options. Once this action has been performed, your deleted chart note cannot be recovered. 


Exporting chart notes 

Once you are done writing a chart note, there are several next steps you may want to take as part of your workflow, including connecting your chart note to your billing or sharing your note (ie with other members of your client's care team). You can access these features in two ways:

  1. Directly within the active charting area (click the "More" option on the top right") 
  2. Review your note by going to the "Charting" section of your client profile > View Charting Notes > "More" 


Export to Superbill or CMS 1500: 

You are also able to export Chart Notes directly into your Superbill or CMS 1500 for efficient completion. Client information automatically pre-populates into the form, for streamlined creation and submission. Find more information on Superbills and CMS 1500s via Healthie. 

Exporting to PDF: 

You may want to save a copy of your charting note (or several charting notes) to provide to your client at their request, or to communicate with other care team members (internally or externally). While you have the option to E-Fax your chart note, you can also create your note as a PDF document. 

You can export a PDF with all of a client's charting notes by pressing the "Generate PDF" button, after which you'll see a checkbox for each note that you can select to be included in the PDF. You can also generate a PDF for an individual note via the "More" menu:


E-Fax a chart note

Once you are done writing a chart note, there are several next steps you may want to take as part of your workflow, including connecting sharing your chart note via E-Fax. You can find the "E-Fax" option in two ways:

  1. Directly within the active charting area (click the "More" option on the top right") 
  2. Review your note by going to the "Charting" section of your client profile > View Charting Notes > "More" 

On the page where you can view all past charting notes, pressing the "Send Fax" button will enable you to select multiple notes to include in a single fax:


Download a summary of your client chart

If you'd like to download (and share) a complete record of your client's chart notes and intake forms, you have the option to do so within charting. 

Navigate to Client > Charting > Download Client Summary


Share a chart note with a client

You are also able to share a charting note’s content with your client, and include the whole note, or specific sections of a note, and have that content added as a PDF in the client’s Documents within your Healthie account.

Forthcoming updates to charting

We are in the process of adding additional capabilities to Healthie's Charting Platform. On our near-term radar is the ability to have multiple tabs open within the Charting area, which will enable you to review or edit multiple notes within a single view, such as to easily reference your past notes on a client while also working on a new note:
