Deep Dive: AR Aging Report [Coming Soon]

The Healthie Reports feature is designed to keep you informed about all clients, appointments, and financial activity within your organization. Our AR Aging Report offers a detailed view into your outstanding invoices, enabling you to monitor unpaid balances, understand how long payments have been overdue, and better manage your practice's cash flow.

This report combines the key insights from both the Payments and Invoices reports—plus some powerful new fields—making it easier than ever to answer the critical question: “What do my clients owe me, and for how long?”

What is the AR Aging Report?

The AR (Accounts Receivable) Aging Report is a comprehensive report that helps your organization:

  • Track outstanding client invoices based on how long they’ve been unpaid
  • Review partial or full payments made on an invoice, including details such as date and payment type
  • Understand your overall balance due across clients
  • Categorize unpaid invoices into common aging ranges (0–30, 31–60, 61–90, and 90+ days)
  • Identify at-risk or long-overdue accounts for follow-up
  • Improve forecasting and collection strategies by understanding payment patterns

With this report, you’ll gain better visibility into your revenue cycle and ensure you’re not leaving money on the table.


How to Access the Report

To generate your AR Aging Report:

  1. Navigate to the Reports tab within your Healthie account
  2. Click on AR Aging Report
  3. Filter by date range (e.g. last 30 days, custom date range, etc.)
  4. Click to generate the report

Once generated, the report will appear in your Documents tab under the Generated Reports folder. It will be titled with the report name and the date it was generated.

Format: The AR Aging Report is delivered as a .csv file, which you can open on your local device using spreadsheet software (e.g. Excel, Google Sheets).


Details Included in the Report

Here’s what you can expect to see in the AR Aging Report represented as columns within the report. Each row will represent an invoice with the following information populating if found. 

  • Invoice Details: 
    • Invoice Unique ID 
    • Invoice ID 
    • Balance Due (amount still unpaid)
    • Currency 
    • Payment Status 
    • Date invoice created
    • Invoice Date Due (set as 5 days after creation, which aligns with Healthie’s due notification to clients)
    • Invoice Type (e.g., Appointment invoice, CMS 1500 invoice, Package invoice, or Product invoice)

/callout: Additional information will pull in for the invoice based on the invoice type, which is outlined further below. 

  • Client Details: 
    • First Name 
    • Last Name 
    • Preferred Name 
    • Client Group 
    • Provider
    • Recipient ID (Client ID)
  • Payment History:
    • Payment Type (e.g., Credit Card, HSA, Stripe ID)
    • Payment Date
    • Payment ID
    • Payment Amount

      (Note: There can be multiple payments tied to a single invoice)

  • Days Aging – calculated based on the time since the invoice was due and categorized into:
    • 0–30 days
    • 31–60 days
    • 61–90 days
    • 90+ days
  • Appointment Details (if invoice created for an appointment)  
    • Appointment ID 
    • Appointment date
    • Appointment type 
    • Appointment status 
    • Appointment charge amount 
  • Claim or Package details (if invoice created for a claim or package) 
    • CMS 1500 date 
    • Client responsibility amount 
    • Package title 
    • Package charge amount 

Note: There can be an unlimited amount of payments made towards an invoice. Healthie will list each payment in the AR Aging Report with the following details (per payment)  

  • Payment unique ID
  • Payment 1 date and time 
  • Payment 1 amount
  • Payment 1 type
    • Credit card
    • Outside payment: cash 
    • Outside payment: check 
    • Outside payment: credit card
    • Outside payment: direct deposit 
    • Outside payment: other
    • Outside payment: ACH
    • Outside payment : Write-off
  • Product details (if invoice created for invoice type "Other Products or Services") 
    • Product or services provided
    • Service date 
    • Other charge amount 
  • Other invoice details 
    • Write off reason 
    • Write off amount 
    • Additional notes 

This detailed report empowers your team to take action on unpaid invoices, manage follow-ups, and maintain a healthy financial workflow.
