How to run a Corporate Wellness Program with Healthie
We understand that as a provider, you've excelled in delivering exceptional care to individual clients. Now, you can also use Healthie to leverage your expertise and make a significant impact on a broader scale. In this article, you’ll learn how you can use Healthie to offer services and content to other businesses.
This can be applicable for corporate wellness programs focused on nutrition, as well as other B2B services such as mental health, health coaching, fitness education and more.

How to build a corporate wellness or B2B program in Healthie:
- Determine what you’ll be offering as part of your program
- Create Groups for each of the clients/organizations you work with
- Build an Intake Flow for each of your group(s)
- Invite clients and their employees to access Healthie for your program/services
- Determine how to bill your clients for the program/services
1. Determine what you’ll be offering as part of your program
With Healthie, you have the opportunity to offer a variety of services to your clients. These include one-on-one sessions, group sessions, or programs with written content or video content that are self-guided. Healthie also enables you to work with your clients on goals.
As the first step in building your corporate wellness program, you’ll want to determine what types of services you’ll be offering your clients and build those out in Healthie.
2. Create Groups for your Clients/Organizations
While building out your corporate wellness program or B2B program, one of the main things you need to take into consideration is how employees of your clients will access and engage with the program relevant to their employer. With Healthie, you will be able to leverage Groups to differentiate between your clients so that you can efficiently manage and tailor your services to different clients/organizations. How to create groups:
- In your Healthie account, click "Clients"
- Click on “Client Groups”
- Click “Create Group” in the top right corner
- Give your B2B customer group a name and click “Create”. Once you’ve created the group, will see it under the list of Client Groups.
You can always create new groups for new clients/organizations that you onboard.
3. Build an Intake Flow for your Group(s)
Once you’ve built your groups, the next step we recommend taking is creating Intake Flows that are associated with each group. An intake flow is a set of forms, agreements, and any other documentation you want your clients’ employees to see/complete. Some examples of what you might want to include in these intake flows are:
- Client/patient registration form
- Health history form
- Employee goals worksheet
- What to expect from the program
- Consent/agreement forms
- Cancellation policy
Note that you will most likely want to create or upload forms before building your intake flow.
How to build intake flows:
- Go to Forms
- Click Intake Flows
- Click Create New Intake Flow
- Give your Intake Flow a name, chose the Group you just created and click Create
- Now that you’ve created the shell for the intake flow, you can decide what to put into the intake flow. Click the 3 dots to the right of the new intake flow.
- Click Manage
- Every intake flow will have a Welcome Message; you can edit this message to be customized to the client/group and program you’re offering.
- Click Back to continue to add more forms to your Intake Flow
- Add Form to Intake Flow (existing or create a new one)
4. Invite clients and their employees to access Healthie for your program/services
The next step in building out your corporate wellness program in Healthie is deciding how your clients and their employees will access your program services. Of course, this involves the employees having access to Healthie. As you know, our client-side portal is customizable; you can change the branding (i.e., add your logo and color scheme), as well as change things such as the URL. There are 2 main ways you can invite clients’ employees to access Healthie:
- Workflow A: Inviting clients through a Package link
- Workflow B: Sharing a sign-up link via the 'Clients' tab
Workflow A
Packages in Healthie essentially bundle up all the services/content you are offering in one place for someone to purchase or access. Once you create a package, you’re able to share the link to the package with your clients and their employees. Depending on how customized your programs are for each of your clients/employers, you can either have one package per group/client, or you can create the packages so that multiple clients’ employees can access it.
Follow these instructions to create a package:
- Go to Billing > Create Package
- When creating your package, make sure to include a package title that clients and and their employees will recognize and resonate with. In the description section, you should include details about your program/offering so that employees feel excited to join. You can also embed a video to the package directly to share with clients once they access the package.
- Package Visibility Options: Here you have the option to hide packages from all your clients and then available by only sharing the link directly. This is how you can limit who joins/signs up for your program. In other words, once the package is created, you will be able to generate a link to the package that only people who have access to the link will be able to see.
- Automations: This is how you will ensure that clients’ employees are placed into the appropriate Group.
- In the next step, you will indicate what’s actually included in your package. If you’ve built out a program in Healthie for this corporate wellness program, you can include that in the package. You can also include group sessions.
- The last step of the Package creation is setting the Price. If you’re charging the client/employer directly, you will want to set the price to $0 OR you’ll want to set a price and then use Promo codes so that employees can access this package. If you are charging the clients’ employees directly, you can establish a true price.
- Note: Offering a "recurring subscription" allows you to create a service, attached to a payment model, in which a customer agrees to pay a regular fee at predetermined intervals (e.g., monthly, quarterly, annually) in exchange for ongoing access to a product or service to provide constant care and services to your clients.
- Once you’ve built the package, you can use the “Share” button to generate a sharing link to then send to your clients and their employees. This link can also be shared in a company newsletter or any other internal communication at the organization.
Workflow B
If you don’t want to build a package/sell services, you can also provide a client with your unique invite link to access Healthie. With the invite link, they will be taken to a page to set up a password and complete any intake forms that you have associated with their group.
To generate the invite link:
- Go to the "Clients" page > Click "Add Client" > Click on the "Share Invite Link" tab
- Choose the group you would like to put this client into
- Copy the link by clicking the blue "copy" button. The URL will be copied to your clipboard.
- From there you can share the link in a company newsletter or any other internal communication at the organization.
- When clients click the link, they’ll be prompted to create a Healthie profile and will be able to access any programs you’ve built out or schedule appointments/sessions.
5. Determine how to bill your clients for your program/services
The last step in running your corporate wellness program is to ensure you have a process for collecting payments. Below are two common ways to bill for corporate wellness services via Healthie:
Option 1. Invoice the employer for services rendered
- Create & send an invoice for another contact to pay

Option 2. Collect insurance details from each employee and submit an insurance claim
