Building Community Programs within Healthie
Digital programs are an increasingly popular way to add to service offerings, for both prospective and existing clients. Healthie's Programs feature enables you to automatically distribute pre-loaded content to clients over a cadence of time. Content may include videos, quizzes, handouts, and surveys (with scoring capabilities). This tool is highly customizable to meet your particular workflow needs and can be used for delivering content at a fixed or rolling start, distributing e-mails and videos, and overall, building long-term relationships with your clients.
Moreover, the Programs feature within Healthie enables your clients to access materials within their client portal, and also discover and enroll in programs that may be a fit for their health and wellness needs.

Steps to Getting Your Program Live
Create a Client Group for Program Participants
Healthie enables you to create client groups in order to organize your clients and to tailor their experience. You can use Healthie groups in a variety of ways to streamline workflows within your business and ensure smooth communication with clients.
When building a community program within Healthie, it is best practice to add all program participants to one client group. This way, you can send message blasts with program updates, create custom email communications, use specific intake flows, and more for the specific group. Create a Package for Your Program
You can add a program to any existing client packages, or you can create a new package for your program. You can also offer your program along with a bundle of other services that you offer (ie. program and consultations). Your program can be free or at a cost, depending on your business goals.
When a client purchases that package from you, they will be automatically enrolled in that program. They will then get email notifications every time a new module is shared with them.
To add a program to a new client package:
- Billing > Client packages > Create new package
- In "Included items" scroll to the bottom to "Programs" and select your program from the drop-down. You can add several programs in a single package if you'd like.
- Add payment details to your package. If you wish, you can also make the package FREE. This is often done if you'd like to offer your program as a way to generate new leads/prospects for your business.

Design your Program Content
When selecting topics to include in your program, think of information that you typically review in-session with clients — perhaps topics that are frequently discussed and can be reinforced within your program. A program can be a great complement for your existing clients that are working individually with you.
As online wellness programs tend to be educational, you may want to think about structuring your program into modules, with a new module/topic each week. Within the week, you can drip out content that will help educate and motivate your clients, allowing them to adopt the suggested health or lifestyle changes.

Build Your Program
When creating your program, right off the bat you should:
- Give Your Program a Title: The title of your program is key to catching the eye of potential participants. A good title can demonstrate in a few words the purpose of your program and attract the right clients.
- Write a Program Description: Your program description can then build upon the title you set. The program description is a good place to outline the topics that will be covered in the program, how the information will be diffused, how participants can contact you, and any other information you deem important for clients to look over before signing up.
- Add the Benefits of Your Program: With Healthie’s program builder, you can include a separate section to list out all of the benefits of your program for interested clients to view. Here, you can list any data you have from previous program participants to prove the value of the program, as well as any general benefits you feel the program has.
Next, you can spend the time to build out the modules of your program. Each module includes the:
- Title
- Day of the program the module is to be released
- Content
For content, you can include a form, a document, a video, or just an email. Each of these types of content allows you to select pre-existing content from your Healthie account, or start fresh with custom content specific to this new program.
Enroll Clients to Your Program
Here’s where adding all of your program participants to a group is beneficial; once you’ve created your program, you can add a client group(s) to the group all at once. You can also add individual clients as needed.
After adding client groups, you can adjust the start date and time of a program. As a note, the time you set for the program to start will also be the time of day that program emails go out throughout the course of the program. For a rolling start program, you can “override” the start date so that the program start is triggered for clients who join after the initial start date.
Community Programs Best Practices
Share content & programs across your organization
If you’re part of a larger organization, individual program content or even entire programs can be shared internally within Healthie. When a provider creates a program within Healthie, all other providers have access to the program from their own portal. This way, the programs you create can reach more and more clients, and avoid providers doing twice as much work just to create similar programs.
Create programs that retain clients who would otherwise be lost to follow-up
Programs can be a great way to offer affordable education & care to a large group of community members. Consider building a program that would be ideal for clients that need services not covered by their insurance, who geographically live a far distance from your business, or struggle to make a long-term commitment to their health.
For example, building an educational program on topics you feel community members may be lacking knowledge in, such as effective grocery shopping, can be a great alternative to 1:1 services. While these programs may not provide the same level of individualized care as sessions with a provider, they do have the ability to target specific areas in which clients need extra support. Programs work great for clients who need to work at their own pace, from the comfort of their own home. They are still able to commit to their health, but on their own terms, without an extreme financial commitment.
Leverage existing content
You may be surprised how much content you already have created; take a look through your content library, and curate a program from content you have already created. There might be content from:
- Educational webinars
- Client handouts
- Meal plans
- Workout programs
- YouTube videos
With Healthie, you can easily compile these different types of content into a comprehensive program to offer to clients. You can even reuse content across programs of different topics, such as introductory videos, meal plans, and other evergreen content.
Introduce video or audio content
When working with clients virtually, video content can be an extremely beneficial tool for communicating educational content. Getting started with video content is easier than you might think; you can record short, educational videos, or even podcast-like Record short, educational videos or even podcast-like recordings to include in your programs. They will break up the amount of content clients have to just read or look over, and help keep them engaged throughout the duration of the program.
