Quick Account Setup Guide

Welcome to Healthie! 👋 Below you'll find step-by-step instructions for setting up your Healthie provider account. If you manage a group practice or organization, you'll find our guide on managing team members here. We recommend logging in from the Healthie web application (not the mobile app) to set up your account. 


✅ Set Up Your Intake Forms 

The first step is to collect essential information from your clients. You can use our library of forms or create custom intake forms to electronically fill out and e-sign on Healthie.


Navigate to Forms in the left side panel of Healthie.

  • Create and/or Edit Intake Forms
  • Create and/or Edit Intake Flow(s)
    • Navigate to Forms > Intake Flows
    • When you add forms to an intake flow, clients will be prompted to complete the forms when they create their Healthie profile

✅ Set Up Your Appointment Types 

Appointment Types are a central part of the Healthie calendar configuration that allow you to showcase the sessions that you offer to clients. Appointment Types can vary in name, length, location, contact type, be one-on-one or group, and more. 


Navigate to Calendar in the left side panel > More > Appointment Types

  • Add or Edit Appointment Types

✅ Set Up Your Calendar and Availability 

Setting up your availability is crucial for your practice. Configure your calendar and add availability to enable clients to book appointments directly with you.


Navigate to Calendar in the left side panel.

  • Add Availability to your calendar (Calendar > Availability > Add)
  • Sync your external calendar (Calendar > More > Sync Calendar)

Access appointment booking links to share with your clients (Calendar > Calendar Quick Share > Copy) OR (Calendar > More > Share & Embed)

✅ Set Up Packages to Sell to Your Clients 

To streamline payments, with the option to enable upfront payments, create packages with set prices, or also an evergreen option for continuous client access, ensuring a smooth and uninterrupted service experience.

  • Add Your Bank Account (Settings > Financial) 
    • Required in order to process payments for services via Healthie
  • Add Packages (Navigate to Billing > Client Packages > Create Package)
    • You can include various appointment types in the packages and/or include other items such as products or programs
  • Access links to your packages to share/sell these with your clients
    • Billing > Client Packages > Share

You are now ready to share links to your calendar and packages, and process payments for your services!

✅ Add a Test Client to Healthie

Experience Healthie from your client's perspective by adding a test client account.

Navigate to Clients > Add Client

  • Create a mock client account using a separate email address that you can access (i.e., a personal email address).
  • Log into the client portal and experience the intake workflow, booking process, and other workflows.

Navigate to the gear icon in the top right corner next to your name > Settings > Brand

  • Add your brand name
  • Add your logo
  • Add your brand colors
